Why Your Visitor Management System Is a Compliance Gap Waiting to Happen

Visitor management is often treated as reception software. In a federal facility, it is a security control with identity, authorization, escort, and evidence requirements.
Paper logs create predictable gaps: names can be incomplete, credentials may not be validated, escort status is unclear, and records are difficult to reconcile with PACS events. A digital kiosk alone does not solve the problem if it is isolated from access control and policy.
A defensible workflow verifies the visitor, records the host and purpose, assigns restrictions, issues the appropriate credential, links escort requirements to facility procedures, and captures departure. Exceptions must be visible and reviewable.
Integrating visitor management with PACS and audit processes turns a front-desk activity into an accountable control. It also gives facility managers evidence before an assessor asks for it.
